For guests, pick one of two shapes: a continuous loop, with a coach leaving the hotel every 20 to 30 minutes, or two or three timed departures. Then plan the return in reverse. Guests leave the reception in one wave at the end, so the ride home usually needs more seats per hour than the ride out. Ask each venue where a bus can stage, whether the drive has a height or weight limit, and who can move the curb on the day. Choosing a vehicle size

The wedding party needs room for formal wear and an easy step up for photos, which points to a limo, a Sprinter-style limo van, or a mid-size party bus. Ask the company which vehicle you are getting, its legal seated capacity, the step height, whether a rear door or wide aisle helps with a gown, and what happens if that vehicle breaks down and gets swapped.

What affects the price

What moves a wedding quote: how many vehicles you need, how many hours each one is on the clock, Saturday minimum-hour rules in peak season, the miles between venues, and late-night overtime on the return shuttle. Watch the gap between ceremony and reception, because most providers bill it as wait time rather than letting the vehicle go. Under the current reservation terms a deposit of typically 50% holds the date, the balance is due before the trip, and full payment is typically required when the wedding is within 7 days of booking. The signed contract controls. Ask each provider to break out gratuity, fuel, tolls, and any decoration or cleaning charge so the totals line up.

Safety, rules, and what to verify

Before you pay, look the company up. Interstate carriers taking more than 8 passengers for pay must hold a USDOT number, and FMCSA's step-by-step Bus Safety Search shows operating authority, insurance on file, and safety rating. Many states require a USDOT number for in-state carriers too, and single-state operators are sometimes regulated by a state agency instead. Champagne on the wedding-party vehicle is a fair question with no single answer: open-container and passenger-alcohol rules change from state to state, and providers set their own limits, so ask yours and read the state page under /locations. If a guest uses a wheelchair or walker, ask about a lift-equipped vehicle early.
