What the Party Bus Checklist Generator is for

Most day-of problems on group trips come from small things nobody owned: the driver's number, a phone charger, cash for the tip, the wedding sewing kit. This tool gives you a ready-made checklist for your event type, sorted into categories, that you can tick off as the date gets closer.

It covers five events: bar crawls, weddings, birthdays, proms and corporate outings. Each list is a set of general reminders, not the rules for your trip. Your provider's contract is what sets the policies on drinks, decorations and timing, so use the checklist to prompt questions rather than replace the contract.

How to use it

  1. Choose your event type. Select bar crawl, wedding, birthday, prom or corporate. Switching event types loads a new list and clears anything you'd ticked, so settle on one before you start.
  2. Work through each category. Every list has four categories, such as planning, supplies, decor and safety. Read each item and decide who in your group owns it and when it needs doing.
  3. Tick items as you go. Check the box when the item is done. The counter at the top shows how many you've finished out of the total for your event type.
  4. Save your progress elsewhere. The checkboxes aren't saved, so a refresh or a later visit wipes them. Copy the unticked items into a group chat or notes app to share and track them.

Reading the results

The counter shows completed items against the list total: 21 items for a bar crawl, 23 for a wedding, and 20 each for birthdays, proms and corporate events. Ticked items are crossed out so you can scan what's left.

The items are general reminders, not provider rules. The bar crawl list carries quick quantity reminders matching the BYOB and Ice Planner: roughly 0.8 to 1.5 drinks per person per hour depending on how your group drinks, and about 1.25 pounds of ice per person per hour. Use the planner for exact shopping totals, and check the provider's policy before you buy.

Anything the list doesn't cover, like specific decoration bans, cleanup fees or age rules, lives in your provider's contract. Read it and add those items to your own list.

Worked example: Getting a prom group ready

A parent organizing a prom trip picks Prom and gets 20 items across four categories: Before Prom, On the Bus, Photo Prep and Safety. The counter starts at 0 / 20 completed.

Two weeks out they lock in the booking and pickup time, share parent contact details with the provider, and settle the photo location. That's the counter at 3 / 20. The Safety category prompts them to sort the return drop-off plan and send the itinerary to every parent.

Since progress isn't saved, the parent copies the remaining items into the parents' group chat and assigns each one to a person. On the night, a last pass through On the Bus and Safety takes a minute and catches the charger nobody packed.

Mistakes to avoid

  • Relying on the page to remember progress

    Ticks vanish on refresh or when you switch event type. Copy the items into a shared note or chat so the whole group can see what's done and what isn't.

  • Treating the list as the provider's rules

    The checklist mentions things like confetti-free decorations, but it doesn't know your provider's actual policy. The contract holds the real rules on decorations, drinks and cleaning.

  • Leaving every item to the organizer

    A 20-item list is a lot for one person in the week of an event. Hand out owners for supplies, payments and day-of contacts early, and check in on them.

  • Skipping the safety category

    Backup rides, a sober contact and the driver's number all feel unnecessary right up until the moment they aren't. Get those done before the day, not during it.

Does the party bus checklist save my ticked items?

No. The checkboxes last only while the page is open. Refreshing, closing the tab or switching event types clears them. To keep track, copy the items you still need into a notes app or group chat and put someone's name against each one.

Why did my checklist reset when I changed event type?

Each event type has its own list, so switching loads a new set and clears the old ticks. If you want to combine lists, say a birthday that's also a bar crawl, look through both and copy what you need into one shared note before you start ticking.

Which event types does the checklist cover?

Five: bar crawl, wedding, birthday, prom and corporate, each with four categories. For anything else, pick the closest match. A bachelorette night usually fits the bar crawl list and a graduation party the birthday list, then add whatever is specific to your event.

Do the drink and ice amounts on the bar crawl list match the BYOB planner?

Yes. It uses the same rates: roughly 0.8 to 1.5 drinks per person per hour depending on whether your group leans light, mixed or mostly beer, and about 1.25 pounds of ice per person per hour. Neither is a measured standard. Use the planner for exact totals, and check the provider allows alcohol before you buy anything.

What should the prom checklist cover for parents?

The prom list covers sharing parent contact details with the driver, sending the itinerary to parents, settling the return drop-off plan and having a backup ride. Parents usually want to ask the company directly about alcohol rules and who the group will be released to at the end of the night.

Can I print the checklist or send it to my group?
