Safety Inspection Checklist

A day-of checklist of items to look for when the vehicle arrives: emergency exits, fire extinguisher, first aid kit, seat belts where fitted, the vehicle matching your contract, and driver identification. Requirements vary by vehicle, carrier, and state; the checklist is a prompt for questions, not a compliance determination.

Verify before you pay

General guidance used across this site. It is the same on every page by design and is not legal advice or a substitute for reading your contract.

  1. Who you are paying

Confirm the legal name of the transportation provider on the contract and the payment recipient before sending a deposit.

  2. The exact vehicle

Ask for current photos of the vehicle that will be assigned, its legal seated capacity, and the written substitution policy.

  3. Operating authority and insurance

Ask the provider for its current operating authority and insurance certificate, and check them with the relevant regulator where possible. Requirements vary by state and trip type.

  4. The itemized written total

Compare minimum hours, clock start and end, mileage or travel time, fuel, tolls, parking, taxes, gratuity, cleaning, overtime increments, and every possible additional charge.

  5. Deposit and payment schedule

Under the current reservation terms, a 50% deposit is typically due at booking with the balance before the trip; events within 7 days of booking are typically paid in full. The signed contract controls.

  6. Cancellation, rescheduling, and weather terms

Get every deadline, refund or credit rule, and exception in writing. Do not rely on a verbal summary.

  7. Itinerary and conduct rules

List every pickup, stop, and wait period. Confirm alcohol, age, smoking, decoration, food, and cleanup rules for the exact vehicle and route.

  8. Day-of contacts

Get the dispatcher or driver contact method, the arrival window, and how delays or changes are handled during the trip.

Safety Inspection Checklist questions

What should I check when the party bus arrives?

Check DOT certification, driver credentials, emergency exits, fire extinguisher, first aid kit, and overall bus condition. Our checklist walks you through all 15 key items in under 5 minutes.

Is a DOT certification required for party buses?

Yes. All commercial passenger vehicles operating interstate or for hire must have DOT operating authority. The MC number should be visible on the vehicle exterior. Verify it at fmcsa.dot.gov.

What if I find a safety issue?

Point it out to the driver immediately. For minor issues (e.g., a light out), document it. For serious safety concerns (brake issues, missing emergency exits), contact the company before departing.

Should I check the driver's credentials?

Yes, politely ask to see the CDL. A commercial driver's license is required for all party bus drivers. Most professional drivers are happy to show credentials — it's part of their job.

What are the most common party bus safety violations?

The most common issues are expired DOT registrations, missing or expired fire extinguishers, blocked emergency exits, and overloading beyond rated capacity. Always check these first.

How do I verify a company's safety record?

Check the FMCSA Safety Measurement System at safer.fmcsa.dot.gov. Enter the company's DOT number to see their safety rating, inspection history, and any violations.

What our inquiry data shows

Aggregate, privacy-reviewed inquiry data. Inquiries are requests for information, not bookings or trips completed.

  • 61% of all qualifying inquiries in our history were for a Saturday and another 20% for a Friday, which is why Saturday availability is the first thing worth confirming.

    Network-wide inquiry dataJune 2023 – August 2026

  • Inquiry volume in our history peaks in April, July, and August — the months when prom, graduation, and wedding planning overlap — so spring dates fill earliest.

    Network-wide inquiry dataJune 2023 – August 2026

  • Across qualifying inquiries that stated a rental length, 71% asked for exactly 4 hours — the most common request by far — while 18% asked for 6 hours or more.
