What the Cost Split Calculator is for
Someone always ends up fronting the deposit, and that person needs a number they can drop into the group chat without a week of arguing about it. This calculator turns one written quote into a fair per-person share, with the tip and the shared extras folded in, so nobody gets an awkward request on the night.
It's for the organizer who already has a total, or is about to get one. It doesn't guess what a trip costs. You type in the rental figure, the headcount, a tip percentage and any group spending, and it divides instantly, so you can see what happens when two people drop out or the extras creep up.
How to use it
- Enter the total rental cost. Type the rental total from your written quote, before gratuity. If the quote already has a gratuity line, put only the rental part here so the tip doesn't get counted twice.
- Enter the number of people. Count the people who are actually paying, not everyone invited. If the guest of honor rides free, leave them out and the rest cover their share.
- Set the tip percentage. It starts at 18 percent. Set it to 0 if gratuity is already in your quote, or change it to whatever your group agreed. The tip is worked out on the rental cost only.
- Add extra costs. This field is for shared group spending: decorations, ice and drinks, a cake, a photographer. Those dollars land in the grand total, but they're not tipped on.
- Read the per-person share. The highlighted Per Person card is the number to send. Glance at Tip Amount and Grand Total too, so you can explain where the share came from when someone asks.

Reading the results
Tip Amount is your rental cost times your tip percentage. Extras are left out of it on purpose. You wouldn't normally tip the driver on the cake and the decorations you bought yourself.
Grand Total is rental plus tip plus extras. Per Person divides that evenly by your headcount, down to the cent. The People card just echoes your number back, so a screenshot explains itself.
This is plain arithmetic on what you typed, so it's only as good as what you put in. Take the rental figure from a written quote rather than a guess, and look at whether that quote has separate fuel, cleaning or gratuity lines that change what belongs in each field.
Worked example: A 20-person birthday with $150 of shared extras
Your written quote says $1,200 for the rental. The group agreed on an 18 percent tip, and you spent $150 on decorations, ice and snacks. Twenty people are chipping in.
You get a Tip Amount of $216.00, a Grand Total of $1,566.00 and a Per Person share of $78.30. That's the figure for the group chat, with a note that it covers the tip and the shared extras.
Two days out, two people bail. Drop the headcount to 18 and the share jumps to $87.00, because the same $1,566.00 now splits fewer ways. Seeing that before you collect anything is exactly why it pays to settle early whether a late cancellation still owes their $78.30.
Mistakes to avoid
Tipping on a quote that already includes gratuity
Some quotes build gratuity into the total. If yours does, set the tip field to 0 or enter only the pre-gratuity rental. Otherwise everyone overpays and the driver gets tipped twice.
Dividing by the invite list
Invited isn't committed. Enter only the people who have said yes to paying. Divide by a hopeful number and you'll be covering the gap yourself when the real count lands.
Forgetting the extras until after collecting
Asking for a second, smaller payment is awkward. Put ice, decorations and food in the Extra Costs field before you send the first request.
Collecting before the total is final
Overtime, an added stop or a swapped vehicle all move the rental figure. Collect against the final written total, and run the numbers again if the itinerary changes.

Your price depends on the date, the city, how many hours you need, the bus and your group size. These come from quotes we have actually sent: the low end up to the middle of the range. Busy Saturdays cost more, quiet weeknights less. Minimum hours, the drive to your pickup, tolls and gratuity all move the final number.

Cost Split Calculator questions, answered
Why doesn't the cost split calculator tip on my extra costs?
Gratuity is for the driver's work on the rental, so the tip percentage applies to the rental cost only. Extras like decorations or ice are things your group bought, and they go into the grand total untipped. If your group would rather tip on everything, add the extras into the rental cost field and leave the extras field at zero.
How do I handle someone who only rides one way?
It splits evenly, so run it once with the full group to get the standard share. Agree a reduced amount for the one-way rider, subtract that from the grand total, then run it again with the remaining total as the rental cost, the tip set to 0 and one fewer person. Everyone else's share picks up the difference.
Can I make the guest of honor ride for free?
Yes. Just leave them out of the Number of People field. The grand total doesn't change, and the share is divided among the paying guests only. On a 20-person trip with one person riding free, enter 19 and you'll see what each paying guest owes.
What tip percentage should I enter?
Start with what your written quote says. If gratuity is already in there, enter 0. If the provider suggests a percentage, use it. If it's left to you, agree a number with the group before you collect anything. The 18 percent default is simply where the field starts, not a rule and not something any provider requires.
Why is the per-person amount showing cents like $78.30?
It divides to the cent so the shares add up exactly to the grand total. Plenty of organizers round up to the next dollar or five and put the small surplus toward ice or a cushion for last-minute costs. Just tell the group you rounded, so nobody wonders about the difference.
What happens to the split if people cancel after paying?
The rental cost usually doesn't shrink when your headcount does, so every cancellation pushes everyone else's share up. Lower the number of people to see the new amount. Say in your first message to the group whether late cancellations still owe, and you'll head off most of the arguments.
Should I use the quoted total or the deposit amount?
Use the full written total. The deposit is only the first payment toward the booking, so splitting that alone leaves you collecting a second round later. Split the whole amount once, then decide whether to take it all up front or collect the deposit share now and the balance nearer the date.
