What the Event Duration Wizard is for
The hardest part of a first quote request is usually the simplest-sounding question: how many hours? Ask for too few and you're looking at overtime or a rushed ending. Ask for too many and you're paying for a bus idling in a parking lot. This wizard gives you a starting range for your event, plus the timeline behind it.
Pick your event and you get a recommended rental range, a segment-by-segment breakdown and a practical tip. Use it as the first draft of your schedule, then swap in your real times and venues before you ask anyone for a quote.
How to use it
- Select your event type. Choose from ten options: wedding, prom, bachelor party, bachelorette party, bar crawl, birthday, corporate, concert, sporting event or winery tour. The result updates the moment you pick.
- Check the breakdown against your plan. Read each segment and replace it with your actual schedule: real ceremony times, your dinner reservation, the length of the game, the number of wineries you've booked.
- Read the pro tip and set your hours. Use the tip to catch timing problems you hadn't thought about, then ask for quotes covering the hours your adjusted breakdown comes to, cushion included.

Reading the results
The large figure is a recommended range in hours. The breakdown shows the segments behind it, and the pro tip flags a timing issue that catches people out on that kind of event. The wizard has one input, so it knows nothing about your distances, your stop count or your venue's schedule.
The segment lengths and ranges are general planning assumptions, not measured averages. Some tips mention things like typical venue closing times or daytime pricing; those are prompts to go and check, not facts about your venues or your provider.
Where the segments come to less than the top of the range, the difference is your cushion. Groups rarely leave on time. Once you have your own timeline, compare it with the provider's minimum hours for your date and ask for quotes covering what your real schedule needs.
Worked example: Checking a winery tour against the breakdown
Choose Winery Tour and you get 5 to 7 hours. The breakdown is a 30-minute morning pickup, three to four wineries at about an hour each, a one-hour lunch and a 30-minute return. Add it up and you're at 5 to 6 hours, leaving up to an hour of cushion.
Now plug in your own plan. You've booked three wineries with lunch at the second, and they're 25 minutes apart rather than close together. That's 30 minutes to the first stop, three hours at wineries, an hour for lunch, two 25-minute drives and 30 minutes home: about 5 hours 50 minutes.
Add a cushion for a group that lingers over tastings and 7 hours is the sensible ask. Check tasting times with each winery before you lock the quote.
Mistakes to avoid
Requesting the bottom of the range
The low end assumes everything runs on schedule. Wedding photos, prom pictures and post-game exits almost never do. Start from the middle or the top unless your timeline is genuinely tight and fixed.
Not replacing the sample segments
The breakdown is a template. If your reception runs four hours rather than one and a half, the recommendation is wrong for you. Swap in your real times before you ask for quotes.
Forgetting the drive to the first pickup
Some quotes start the clock when the vehicle leaves the garage, others when it reaches you. Ask when billing starts and stops so your hours cover the whole trip.
Ignoring gaps in the day
A wedding with a three-hour break between ceremony and reception can cost less as two transfers than one long rental. Ask the company to quote it both ways.

Why does the event duration wizard only ask for event type?
It's built as a quick first draft. Each event type has a typical sequence of segments, and the wizard shows you that template so you can edit it. It doesn't know your distances, venues or stop count. To build a timeline from your own numbers, use the Bar Hop Time Calculator or the Route Planner.
Why is the recommended range wider than the breakdown adds up to?
The extra is cushion. The wedding segments come to five hours while the range says five to six, for instance. Weddings, proms and group nights run late, and the top of the range leaves room for that. If your schedule is fixed and tight, the lower number may be enough.
Is the wedding recommendation enough for a full wedding day?
The wedding template covers bridal party pickup, travel to the ceremony, photos, a reception shuttle and an end-of-night run. A long gap between ceremony and reception, or guests spread across several hotels, can push you past it. Replace each segment with your real schedule and ask the company to quote both options.
Should prom groups plan for an after-prom activity?
The prom template includes a one-hour post-prom drop-off, and the tip notes that many groups add dinner or an activity. If yours is, add that length to the breakdown before you request quotes. Parents should also settle the drop-off plan and who the provider will release the group to.
What is the difference between the bachelor and bachelorette templates?
Both come out at four to six hours. The bachelor template assumes a pickup, three to four bar or club stops and a return. The bachelorette template assumes a hotel or house pickup, winery or bar stops, a dinner or club stop and a return. Pick whichever sequence matches your night, whatever the party is called.
Are the pro tips facts about my city or provider?
No. They're general prompts, like starting a winery tour earlier in the day or allowing extra time for post-game traffic. Nobody has checked them against your venues or your provider. Call each venue about hours, and ask the company about any rate differences by time of day.
What if my event type is not on the list?
Pick the closest match and edit the breakdown. A graduation party often fits the birthday template, a casino trip the concert template, a brewery tour the winery template. The segments matter more than the label, so replace each one with your real schedule.
