Provo sends weddings, receptions, corporate events, filming, and anything with inflatables or using space outside a pavilion to the Special Parks and Trails Use Application. A plain pavilion reservation only covers a gathering that stays inside one pavilion's occupancy. Events with 500 or more attendees, or that need road closures, traffic direction, or first aid, use the Community Special Events application instead. Give the company the exact park entrance either way.

Provo's Special Events Review Committee, which pulls in the Mayor's office, Police and Fire, Public Works, Parks and Recreation, and other departments, works through applications over at least 14 working days, and the city recommends filing at least 90 days ahead. The application fee is non-refundable and approval is not assured. If your vehicle date hangs on that permit, say so up front so the contract covers a change.

The 2026 pavilion season runs April 15 through October 15, with reservations opening January 1 online or through Provo 311. Payment is due at booking, any cancellation or change carries a fee, and there are no refunds within seven days of the reservation. Summer dates go early because of that, so line up vehicle availability as soon as the pavilion is locked in.

Provo Airport (PVU) is the city-operated airport with its own official website. Salt Lake City International Airport (SLC) is a longer I-15 run where shuttles, limousines, and hotel transportation load on the terminal ground level. Settle which airport and airline your travelers are using, then hand over the flight number, terminal meeting point, bag count, and any mobility needs so the quote reflects the real distance and waiting time.

A bus rated for twenty seats is not twenty comfortable seats in formalwear.

The company covering your route names the assigned vehicle in writing when you book. Before you pay, make sure that writing gives the specific vehicle, its legal seated capacity, the features you're counting on, and what happens if it's unavailable on the day — including whether a replacement could be a different size or class.

Ask in your first message, before you have a quote. Accessible vehicles are a small slice of any local fleet and they need more lead time. Tell them how many passengers use a wheelchair or mobility device, the type and weight, whether anyone can transfer to a seat, and whether you need a lift or a ramp. Ask in writing how the device is secured, what the usable door and interior height are, and how much notice they need. Then check the accessible entrance and loading spot with each venue — Downtown Center Street and the Utah Valley Convention Center district and Brigham Young University campus destinations set their own access rules, and the right bus is no help at a door it can't reach.
